Annex

The following is default text added by our privacy plugin regarding some of the plugins and services we use on our website currently:

WooCommerce

We collect information about you during the checkout process on our store.

What we collect and store

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

Note: you may want to further detail your cookie policy, and link to that section from here.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders. We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 7 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses. We will also store comments or reviews, if you choose to leave them.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you. At present, there is only ONE manager for our shop, so sharing of customer information is very limited.

Payments

In this subsection you should list which third party payment processors you’re using to take payments on your store since these may handle customer data. We’ve included PayPal as an example, but you should remove this if you’re not using PayPal.

We accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information. Please see the PayPal Privacy Policy for more details.

Activity includes updates and comments posted directly to activity streams, as well as descriptions of other actions performed while using the site, such as new friendships, newly joined groups, and profile updates. The content of activity items obey the same privacy rules as the contexts in which the activity items are created. For example, activity updates created in a user’s profile is publicly visible, while activity items generated in a private group are visible only to members of that group. Site administrators can view all activity items, regardless of context. Activity items may be deleted at any time by users who created them. Site administrators can edit all activity items.

Data is provided to USPS Postal services for the purpose of obtaining shipment tracking numbers and processing orders and purchasing printing labels. WooCommerce Services processed and validates the customer address and information is provided to USPS just enough to obtain shipping costs, purchase shipping, and print a label: customer name, address, as well as the package weight and size.

Akismet

We collect information about visitors who comment on Sites that use our Akismet anti-spam service. These cookies store technical information but not IP addresses. Their use is linked to specific features and options when embedding ads. Please, see the Advanced Ads cookie information for more details.

Newsletters

In the past, we used Mailchimp to send email newsletters. We are no longer using that service and self-host our own email newsletter list. This means if you subscribe for newsletters (i.e. post notifications and the like) we store whatever information you choose to provide which will include your email address but may also include other information you choose to give us, such as your gender, name, interests, etc. We use double opt-in to deter bots or spammers from opting in people who do not want to opt in. This means that subscribing to a newsletter requires a response to a confirmation email. Subscribers may change their preferences or unsubscribe by following links in emails we send to the list. We also do collect IP information if someone subscribes to help with geolocation so that we can possibly send emails based on location if desired. Deleting your account on the website will unsubscribe you from newsletters. Additionally, unsubscribers will be cleaned from our database on a regular basis. We also have a back-in-stock notification service on our site for products. While this also requires double opt-in, it is separate from our email newsletters and subscribing/unsubscribing to one will not do the same for the other.
